Standard Cancellation Policy for 2025
All cancellations and alterations must be in writing.
Up to 14 Days Before Arrival:
Cancellations made up to 14 days before your arrival date will receive a refund of pitch fees minus the non-refundable deposit of £50 per pitch. Alternatively, if you reschedule your booking, the total balance, including the £50 deposit, will be credited towards this new booking. The new booking must be made for dates within 12 months of the original start date. Only one date change is permitted; additional changes will incur administration fees.
2-14 Days Before Arrival:
Cancellations within 2 to 14 days of your arrival date will only be eligible for a credit if we can re-sell your pitch. The credit will be for the recovered amount, less the £50 non-refundable deposit. This credit must be used towards a booking within 12 months of the original arrival date, with only one date change allowed. Any further changes will incur additional fees.
Less Than 48 Hours’ Notice:
Cancellations with less than 48 hours’ notice will not be eligible for a refund or credit.
Booking cancellations and alterations:
Cancellations and alterations must be made in writing. Any alterations are subject to management discretion. Please note that a reduction in the booking balance will be treated as a partial cancellation.
Early Departures and in-stay alterations: We do not offer refunds or credits for early departures or any alterations made during your stay.
All cancellations must be in writing.
We highly recommend that customers take out insurance against aborted holidays due to sickness etc.
To avoid losing your holiday investment due to unforeseen circumstances such as illness, hospital appointments, jury service, or other emergencies, we strongly encourage guests to purchase our Cancellation Protection Plan. This Plan offers more flexible cancellation terms for just £1.50 per day of your holiday, providing peace of mind should you cancel or reschedule your booking at short notice.
Terms and Conditions for Cancellation Protection Plan
1. Introduction
This cancellation plan (“Plan”) provides coverage for camping and caravanning bookings made with [Your Company Name] against cancellations due to specific unforeseen circumstances. The cost of the Plan is £1.50 per day per booking and must be purchased at the time of booking. By purchasing this Plan, you agree to these terms and conditions.
2. Coverage
This Plan covers cancellations and interruptions of your holiday under the following circumstances:
Death: The death of a person named on the booking or an immediate family member (parent, child, sibling, spouse, or partner).
Hospitalisation: A person named on the booking or a member of their party is hospitalised due to illness or injury.
If your vehicle breaks down en route and you are unable to reach Swiss Farm, your cancellation protection will refund your booking (excluding the protection fee), provided that:
Emergency Medical Appointments: Unforeseen, urgent medical appointments for a person named on the booking.
Jury Service: A person named on the booking is called for jury duty during the booked period.
Serious Injury or Accident: If a person named on the booking or an immediate family member suffers a severe injury or accident that makes it impossible to attend the holiday
Military or Emergency Service Deployment: If the person named on the booking is a member of the military, police, or emergency services and is called for urgent or unexpected deployment.
Severe Weather Event: If severe weather, such as a hurricane, flooding, or snowstorm, makes it unsafe or impossible to travel to the holiday destination. (Red weather warning)
Household Emergency: If the person named on the booking experiences a significant household emergency, such as a fire, flood, or burglary, that requires immediate attention and prevents the holiday from proceeding.
3. Refund Policy
In the event of a valid cancellation covered by this Plan, Swiss Farm will refund all monies paid for the holiday, less the cancellation policy fee. The refund will be calculated as follows:
Before the Day of Arrival: Full refund of all holiday payments, excluding the cancellation policy fee.
If the Holiday is Cut Short: A pro-rated refund of the remaining days, excluding the cancellation policy fee.
4. Exclusions
The following are not covered by the Plan:
Cancellations or interruptions not related to the events listed in Section 2.
Failure to provide supporting documentation (such as death certificates, hospital letters, or jury service summons).
Voluntary cancellation for reasons not deemed emergencies.
Incidents caused by pre-existing medical conditions that were known before purchasing the Plan.
5. Claims Procedure
In the event of a cancellation, you must notify Swiss Farm in writing as soon as possible. If there is any delay in informing us, you may be required to provide supporting evidence to demonstrate that the delay was unavoidable or reasonable.
If the holiday is cut short, the claim must be made immediately, and all supporting evidence (hospital letters, jury summons, etc.) must be provided within 7 days.
Claims will only be considered if all relevant documentation is provided within 30 days of the cancellation or holiday interruption.
6. Cancellation Policy Fee
The fee of £1.50 per day is non-refundable under all circumstances.
This fee is charged at the time of booking and is separate from any refund of the holiday costs.
7. Limitations of Liability
Swiss Farm will not be liable for additional costs, including travel expenses, medical bills, or other incidental charges.
Refunds will be processed within 14 days of receiving all required documentation.
8. Modifications to the Plan
Swiss Farm reserves the right to modify these terms and conditions at any time. However, any changes will not affect existing bookings where the Plan has already been purchased.
